POLICIES AND PROCEDURES

REGISTRATION

Class/Camp fees may be paid by cash, check, or credit card. Students are registered upon receipt of registration and payment in full. Payment plans may be arranged through the office if necessary.

CONFIRMATION

Online registrants should receive automatic confirmation via email. For those who register via phone, a confirmation email will be sent within five business days.

FINANCIAL ASSISTANCE

Fantasy Playhouse is dedicated to making theater arts education accessible and equitable for all! Tuition assistance applications are accepted on a rolling basis and will be reviewed by our Education and Outreach teams. A limited number of full and partial scholarships will be awarded based on need and merit for FPCTA's upcoming programs. Please note that tuition assistance is not guaranteed, but we strive to make all of our programs as accessible to all.  Families are encouraged to apply as early as possible.

EMAIL COMMUNICATION

Email is the primary form of communication from Fantasy Playhouse. It is your responsibility to ensure that FPCTA has the correct information on file.

WAITLIST

Classes fill quickly! We recommend registering online. If a camp/class is full, please sign up for the waitlist online. Due to the limited class sizes, we STRONGLY encourage you to sign up for the waitlist. There is no cost associated with signing the waitlist. If a spot becomes a available, a member of our Education team will reach out to you to see if you are still interested in the camp.

CLASS/GROUP SIZE

Students are in age appropriate groups within their class/camp. Classes/Camps will be limited to 8-20 actors (based on classroom size: showcases may have up to 25 campers) plus 2 Teaching Artists. If a class or camp session does not meet minimum enrollment it may be cancelled and you will be notified by email/phone. We will make every effort to find class placement for all students. Younger students admitted by permission of instructors.

AGE GROUPS FOR CAMPS

Students are divided into age appropriate groups:

Ages 3-4, Ages 5-6; Ages 7-9; Ages 10-12; Ages 13-18

DROP OFF and PICK UP 

Registered Families will be emailed our 2023 Summer Camp procedures one week prior to camp.

SUMMER CAMP CELL PHONE

Please call 256-975-2159. This number is for families for Fantasy Playhouse camps held at Bob Jones. Please leave a message and a member of our staff will call you back within 15 minutes.

Camp phone is only active from Monday - Friday, 8:00am – 5:30pm for BJHS camps. Please call Fantasy Playhouse at 256-539-6829 for information about our other programs.

LATE PICK-UP

Students MUST be picked up promptly at the end of their class time. Excessive late pick-ups may result in your child being dismissed from the class for the semester with no refund granted. For the safety of our students, Fantasy staff is not allowed to leave students unattended.

Camps/Classes at Fantasy: A $1 fee for late pick-ups will be assessed every minute starting 5 minutes after the camp/class ends. After 5 minutes, students who have not been picked up will be walked to our lobby/aftercare area and can be picked up from there. Payment will be billed to your card on file.

For classes “At Your School”: A $1 fee for late pick-ups will be assessed every minute starting at the end of your class time. Payment will be billed to your card on file.

LUNCH/SNACKS for CAMPS

Full Day Camps and Showcases: Two meal breaks are scheduled each day. Please send lunch, snack and drinks for your child each day. No peanut/tree nut products please. We are a nut free zone.

Half Day Camps: One snack break scheduled each day. Please send a snack and drink for your child each day. No peanut/tree nut products please. We are a nut free zone. Campers staying for a full day of fun with a morning and afternoon camp are welcome to stay for a supervised lunch. No peanut/tree nut products please. We are a nut free zone.

As we often have several students with severe food allergies, we ask that food not be shared. Siblings’ lunch/snacks should be packed separately.

FPCTA does not provide food or drink. 

BEFORE CARE / AFTER CARE for CAMPS

We offer Before Care and After Care for the following camps: Fall Break Camp, Spring Break Camp, and Summer Camp. Care is provided by FPCTA staff in our camp environment. Students will be able to participate in relaxed activities, age appropriate movies, and arts & crafts. They may also bring a book or gaming device to enjoy during this time. Registration: 24 hours notice is required via email or phone. Payment is due in full prior to the day of care. Refunds: If you would like to pick your child up early, you are welcome to do so. However, there are no refunds for unused time. A fee will be assessed for late pick-ups. Cancellations: Subject to a $15 processing fee. Snacks: FPCTA does not provide food or drink. Please provide additional peanut free/tree nut free snacks and drinks for After Care. Camp Cell Phone Number: 256-975-2159.

FINAL PRESENTATION / SHOWCASE

Accounts must be in good standing or students will not be allowed to participate in final class presentations and/or performances. For 2023 Summer Camp, procedures for “Sharing Day” on Fridays will be announced closer to camp dates.

SHOWCASES / ADOPT-A-SCHOOL

Students are expected to attend all rehearsals and performances.

REFUNDS

FPCTA reserves the right to cancel a class/camp due to insufficient enrollment. In the event FPCTA cancels a class, the student will receive a full refund. Participant cancellations made more than 2 weeks prior to the start of class/camp will receive a full refund less a $75 processing fee. No refunds/credit granted to participants who cancel less than 2 weeks prior to the start of class/camp. Transfers are subject to availability within the same semester, must be made two weeks prior to the class/camp date, and incur a $25 transfer fee. Tuition for classes/camps cannot be transferred between sessions or mainstage tickets. All cancellations must be made in writing.

RETURN CHECKS

There will be a $30 fee for any checks returned by the bank.

INCLEMENT WEATHER POLICY

FPCTA will cancel classes based on both Huntsville City Schools and Madison City Schools. If one district cancels, then FPCTA will cancel classes. We will post cancellations on our Facebook page and website. FPCTA does not make phone calls of cancellations due to inclement weather. If you have additional questions, please call the office at 256-539-6829 to find out if we are closed.

HOLIDAYS

We observe the same holiday schedule as Huntsville City Schools.

MAKE-UP POLICY

Due to the nature of our classes, we do not offer make-up classes. If you know your child will miss a class, please contact the office. No refunds granted for missed classes. We do not guarantee that classes cancelled due to circumstances beyond our control (e.g. weather, power outage, etc.) will be made up.

PHOTOGRAPHY

Fantasy Playhouse Children’s Theater & Academy reserves the right to use photos and videos taken in camps, classes, workshops and performances for promotional purposes only.

ACADEMY FACULTY

FPCTA are made up of qualified teaching artists who are professionals in their fields. FPCTA Faculty have had an Alabama State criminal background check and are CPR certified. Faculty class assignments are subject to change without notice to parents and students. No refunds granted due to change in faculty.

STUDENTS with DISABILITIES

Fantasy Playhouse Children’s Theater & Academy makes its programming available to everyone, including students with physical, developmental or cognitive disabilities. Please contact Education Director at 256-539-6829 if you have questions and/or to determine that this is the right class for your child. If a student’s disability proves to be in any way beyond our staff’s capabilities, we may recommend that a student discontinue the class, and a pro-rated refund will be granted.

DISRUPTIVE BEHAVIOR

Fantasy Playhouse Children’s Theater & Academy strives to make the theatre a fun and safe learning experience for your child. Therefore, we reserve the right to remove a student from activities permanently due to inappropriate or disruptive behavior with no refund granted.

ADDITIONAL INFORMATION

We offer classes to students of all levels of experience.

If your child is younger than the class/camp that is recommended, you will need permission by the Education Director to be admitted into the class/camp. There are no refunds for students in classes/camps that are not within the age group.

Taking a class or camp multiple times immensely benefits our young actors and technicians. Like a dancer spending time perfecting their form at the barre or a pianist at the keys, our students repeat exercises, warm-ups, and activities in order to build a strong foundation in voice, movement, acting, and design. Final showcase materials are constantly rotating so students are continually exposed to new material and repertoire.

CLASS SHARINGS

For 2023 Summer Camp, procedures for “Sharing Day” on Fridays will be announced closer to camp dates. For the safety and security of your child, we do not recommend families attend class with their child during the session because we find it is distracting and hinders the learning process. The class time belongs to our students.
